PAGUYUBAN PELESTARIAN BUDAYA BANDUNG Bandung Heritage Vision: The Society believes that the identity of Bandung, derived from its unique culture and heritage, is the city’s most important reserve and therefore needs to be strengthened and enhanced. Mission: With the view to achieving this, the Society aims to: Develop and promote Bandung’s unique identity and image; Foster an environment in which Sundanese traditions can be conserved and developed; Increase the awareness of the importance and economic potential to the city’s historic areas and urban environment. Organization: Ketua Responsible to chair all meetings and serve as official spokesperson for the society. Perceived leader of the society responsible to assure that board functions smoothly and activities are carried out according to plan and budget. Uses his/her influence to bring profile to the work of the society as well as goodwill and contributions (fiscal and non-fiscal). Sekretaris/Newsletter/Arsip Responsible to take all minutes of meetings, handle correspondence, oversee preparation of newsletter, and careful maintenance of library and resources. Recruits volunteers to assist in these works. Bendahara Responsible to handle financial transactions and maintenance of society funds. Oversees preparation of monthly report and collection of fees for new members and collections at monthly meetings. Uses volunteers to assist in these works. Bidang: Lingkungan Alam dan Binaan Handles requests for information, projects, and activities covering these topics. Recruits volunteers to help in their work. Bidang: Lingkungkan Budaya Sunda Handles requests for information, projects, and activities covering these topics. Recruits volunteers to help in their work. Executive Director Responsible to the board for the day-to-day running of the society, assuring regular activities are carried out in timely way according to agreements/budgets. Formulating activity plan and budgets. Finding grants and projects for the society. Reports to the board on issues, problems, opportunities. Legal Representative Offers assistance in all aspects of legal matters for the society, organizationally and aspects of conservation law required for projects and activities. Badan Pelaksana: Working groups of volunteers interested in donating time/talent to handle various organizational needs. Members and Volunteers Greets members/guests at monthly meetings and assists Bendahara in collection of fees; inventories members’ skills for use in diverse activities of the society, trying to match needs of projects with interest/skills of members. Education and Community Development Coordinates the monthly meetings and seeks to find outlets for educating the community in heritage matters and society concerns. Fundraising and Public Relations Seeks opportunities to raise money for the society through special activities, and sees that press releases on activities of the society reach targeted media. Regular activities: 1. Monthly members’ meetings 2. Newsletter to members and friends 3. Press releases on activities of the society in selected media 4. Operate office with special hours for members and friends to use resources in the society offices. Special activities: 1. Projects, activities of the society revolving around heritage issues and concerns. 2. Annual awards’ program 3. Job description for volunteers: Office helpers - Come to the office at the time/date promised
- Greet visitors and help them with their needs
- Be prepared to give information about heritage society events, membership, etc.
- Help visitors locate the materials they seek.
- Assure that no materials leave the office
- Take requests for photocopying and give to Secretary or Executive Director to follow-up. (We charge 100% over the actual cost of photocopying).
- Keep office clean and straightened.
- Sell postcards, pins, (fund-raising items) if possible
- Help in the office to maintain order in the library materials, files and source materials.
- Assist the Secretary and Executive Director maintain up-to-date records in useful order.
- Assure that “thank you letters” are written for people sending materials to us
- Welcome table for monthly meetings:
1. Welcome all members and guests warmly. 2. Seek to get new members by having membership forms available and explaining how they should be filled out. 3. Register all attendees and collect dues and contributions 4. Encourage members to volunteer for certain programs 5. Sell postcards, books, etc. as offered 6. Give information about up-coming events and programs - Assist Secretary compile, write, print and send newsletters/undangan as needed.
